By Application Only — 3 Full Rehearsal Engagements Per Year
Your Team Can Plan an Event. We’ve Planned the Ones Nashville Never Forgets.
One-on-one access to the team behind CMA Fest, the NFL Draft, and Nashville’s biggest nights — for the handful of events each year where “good enough” isn’t.
Your team is capable. That’s not really in question. What’s in question is what a missed permit, a vendor no-show, or a timeline that unravels at hour four costs you when the guest count is real, the stakes are real, and there’s no redo. We’ve stood in the middle of days most planners only ever read about — CMA Fest, the NFL Draft, Nashville’s 4th of July — and the gap between an event that runs and one that almost doesn’t usually comes down to one thing: someone in the room who has done this before. Show Runner Sessions puts that person on your team, without putting us in charge of your event.
are Show Runner Sessions Right for You?
WHO THIS IS FOR
This is for the leader who knows their team could probably pull this off, and wants to close the gap between “probably” and “definitely.” The nonprofit staking a year of fundraising on one gala going right. The corporate team running something three times bigger than anything they’ve handled before. The planner who’s excellent with intimate events and just landed something with real scale for the first time. Different starting points. Same need — an experienced hand in the room before things go wrong, not after.
WHO THIS ISN’T FOR
This isn’t for everyone, and it isn’t meant to be.
If your event is small, low-stakes, or the budget doesn’t support a serious planning investment, we’re not the right fit — and we’ll tell you that.
If you’re looking for a free call or a few quick tips, this isn’t that.
If you’re not the person who can actually greenlight the plan once it’s built, we need to be talking to whoever is.
We built Show Runner Sessions for the events where getting it right actually matters — not for validation, and not for a shortcut.
The Investment
The Green Room Session — $2,800
One 60-minute strategy call with a member of our team. A pre-session prep questionnaire, so our time together is used efficiently. The place to start if you need direction on one specific piece of your event, or want to see how we think before going further.
The Full Rehearsal — Custom-Scoped Engagement
Eight 1.5-hour, 1:1 sessions with our team, scheduled at your pace, covering vendors, logistics, timeline, registration, and run-of-show. Investment is scoped to your event's size and complexity — we'll walk you through it as part of your application, before anything is final. If your event needs support beyond the initial engagement, we scale with what it actually needs.
We intentionally limit The Full Rehearsal to 3 client engagements per year. This isn’t a marketing line — running an event of this caliber takes real time from our senior team, and we won’t spread that thin. If this is the right fit, the sooner you apply, the better your odds of a spot.
Every Full Rehearsal engagement includes White Glove Touches:
A written summary and action plan of every session, so nothing gets lost and you’re not scrambling to take notes.
A single shared client folder with everything in one place — summaries, plans, and timelines.
A pre-session prep questionnaire for every call, so our time together is used efficiently.
A short post-event debrief call to close the loop.
How It Works
Step One — Tell us about your event
You fill out a short questionnaire, not a sales call.
Step Two — We review it and reach out letting you know if it’s a fit or not
Step Three — We work through your event together
You get a detailed pre-meeting questionnaire. We want to intimately know where you are with your event before our first meeting. You tell us what you need and what you already know. Then we can help with vendors, logistics, timeline, registration, run-of-show, etc. We continue through the eight sessions assisting your team create an unforgettable event.
Step Four — You walk into event day with a plan
Built by people who’ve run days far bigger than yours.
The Experience Behind Your Plan
Every Show Runner Sessions engagement is backed by the same team that has run some of Nashville’s biggest days.
100,000+ guests — CMA Fest Riverfront Operations
200,000+ guests — NFL Draft in Nashville
200,000–300,000 guests/year — Let Freedom Ring Nashville (4th of July)
150,000–200,000 guests — Jack Daniel’s Nashville New Year’s Bash
Multiple Super Bowls — Los Angeles, Phoenix & San Francisco, with ESPN
1 in-house department founded & led — Tennessee Titans event operations
FAQ
Why do you show your prices?
Because we’d rather you self-select in or out before either of us spends time on an application. If the investment doesn’t fit your event, we’re probably not the right fit for each other — and that’s fine.
How many clients do you take on?
Just 3 Full Rehearsal engagements a year, so every one gets our full attention. Green Room Sessions are more available, but still limited.
Why isn’t there a free consultation?
Given the depth of experience behind each session, we start with a short application instead, so we can make sure it’s the right fit before we begin.
Do you attend my event in person?
Depends on the package and location; on-site presence would have to be discussed and contracted with TGSE.
How does The Full Rehearsal pricing work?
It starts at $30,000 for the initial engagement, custom-quoted based on your event’s scope. Beyond that, it’s $10,000 per additional week — no fixed contract length, no minimum commitment.
How is this different from hiring TGSE for full-service production?
This is guidance and planning support — you and your team execute. Alternatively, Full-service production means our team runs it for you.
Do you work with events outside Nashville?
Yes — Show Runner Sessions are available virtually nationwide. Nashville is where our team is based and where we specialize. However, we have clients all across the US and Internationally.
